This privacy statement provides further information about which information we collect, how we do so (directly or indirectly), why we do so (for what purposes), based on what grounds and how we handle your data.

Data collected

We collect the data that you yourself give us when you e-mail or call us or when you subscribe to the newsletter via our website.

The data that we collect:
Your e-mail address, your name and your preferred language for the newsletter. 

Are you a client? Then in addition to your name and e-mail address, we also collect the name, address and VAT number of the organisation for which you work, payment details and any correspondence.
If you subscribe to our newsletter, we also collect the date and time at which your subscription was confirmed as proof that you gave permission.

Apart from that we collect only the language of your browser when you visit our website. (Our cookie policy contains more information about this.)

Use of the data

We use the data collected for 5 specific purposes. They are:

  1. The (technical) maintenance and improvement of our website.
  2. To get in touch with you by telephone, post or e-mail about our own products and services.
  3. To send the newsletter.
  4. To manage our client database.
  5. Our regular operations.

Below, we explain which data we possibly process for these purposes. 

Maintenance and improvement of the website

We use the data about your visit to our website to display the website in your preferred language, to analyse which webpages are visited the most and how you got to our site (via which other websites or via our newsletter). With this information we can analyse and improve our website in a privacy-friendly manner. We do not place or read tracking cookies via our website. More information about this can be found in our cookie policy.

Contact by telephone or e-mail to inform you of our own services and to send you updates for our products and services

We use your contact data only to get in touch with you about our own products and services. We collect them via our website when you subscribe to our newsletter or contact us by e-mail or telephone. 

Sending the newsletter

We use your e-mail address for our newsletter only with your permission. We send you the newsletter no more than 6 times a year, depending on when there is news that we want to inform you of.

You can subscribe to the newsletter via our website. Each newsletter contains a link to unsubscribe. We do not pass the list of subscribers to the newsletter to third parties and you will never receive e-mails from third parties via us.

Managing our client database

We process the contact data (company name, name of contact, contact’s e-mail address, company address, company VAT number) of our (potential) clients to save and analyse the sale of our products and services.

Regular operations

We process contact, payment and communication data of (former) clients for our regular operations. We send invoices, keep accounts and save our correspondence with (former) clients on our e-mail server and in online folders.

Grounds

For the different ways in which we process data, we use 4 grounds accepted by the General Data Protection Regulation:

  • Consent: to send the newsletter. The first time we ask you to confirm your consent. In that way we are sure that you agree to receive the newsletter.
  • Agreement: when you buy or intend to buy our products and/or services as a client. In that case, we need your personal details to be of service. 
  • Legal obligation: if we receive an order to provide data to a competent authority. In addition, we are also obliged by (tax) law to keep personal data in our financial administration.
  • Legitimate interest: if you are a former client, we will retain your contact data for up to two years after the last contact so that we can reach you in the future.

No transfers

We do not transfer personal data to third parties, except if we are obliged to do so by law.

Retention period

We do not retain your personal data for longer than necessary. How long that is depends on the purpose for which we obtained the data. We make this choice on the basis of the type of personal data, the product or service for which we obtained the data and what you as the interested party can reasonably expect as a retention period. 

The data for sending the newsletter, for example, we keep until you no longer wish to receive the newsletter. 

Security of the data

We have implemented encryption on the traffic to our website. As a result, the data traffic between you and our webserver is made illegible, so that outsiders cannot abuse it. In addition, we naturally appropriately secure the data in all our systems. We do this with all kinds of technical measures, including physical security for the access to our office, but also with organisational measures. 

Your rights

In line with the General Data Protection Regulation, you are entitled to inspect and, if necessary, correct your personal data or to have it deleted. In addition to the right of inspection, correction and deletion, you may also ask us to limit the processing of your personal data. You may also object if you disagree with the processing. Finally, in some cases it is possible to invoke the right of data portability. 

We do not use automated individual decisions, such as profiling.

The ways in which to contact us to exercise your rights are given at the top of this privacy statement. We may ask you a number of identifying questions, in order to check your identity.

In addition, it is possible to submit a complaint to the data protection authority. 

Amendment of privacy policy

We may amend our privacy policy. We will indicate this on the website when it happens. If we want to drastically change the purpose for processing personal data, we will first ask for your consent again for those new purposes.
